Stop chasing subcontractor paperwork.
Collect documents. Track expiries. Automate the chase.

Their licence expired three weeks ago. Nobody noticed.

Valar is the system that notices. You define what each subcontractor must provide. They upload through a secure link. You see what's current, what's missing and what expires next — while Valar handles the reminders.

The problem

If the spreadsheet is what you have, somebody is doing the chasing.

An insurance policy in one inbox. A licence in a shared folder. A safety certificate somewhere else. Then come the expiry dates, replacement files and follow-up emails. The work repeats every month.

01
Scattered subcontractor documents Animated documents move between email, spreadsheet, and folder destinations to illustrate fragmented document handling.

Documents are scattered.

Attachments live in inboxes, shared drives and folders. Finding the latest approved version takes time you do not have on a Friday.

02
Expiry risk An animated document status bar runs down while an alert pulses, illustrating documents quietly reaching expiry. 30 DAYS

Expiry dates are invisible.

A certificate can expire quietly until someone notices, or until it becomes a problem on site.

03
Manual follow-ups Animated reminder messages, a clock, and a looping arrow illustrate repetitive manual chasing. 3

Follow-up is repetitive.

Your team sends the same reminder again: missing insurance, a replacement licence, a safety certificate that expired last month.

How it works

The same process. Every subcontractor.

You define what each subcontractor must provide. Valar collects the documents, keeps the status clear and follows up when something is missing or about to expire.

01

Define requirements

Create the document types your organisation asks subcontractors to provide.

02

Send one secure link

The subcontractor sees exactly what is missing or expiring. No account or password is required.

03

Review submissions

Approve or reject uploads and keep the previous versions in a clear document history.

04

Remind before it expires

Automatic reminders go out before expiry and continue when required documents are overdue.

A status you can trust

Open one record. Know what needs attention.

See what is required, what has been submitted, what expires next and what still needs attention — all in one subcontractor record.

ABC Electrical Action required
Requirements satisfied 5 of 6
Public liability insurance Expired 12 Aug 2026 Replace
Company registration Approved No expiry Current
Safety certificate Pending review 03 Mar 2027 Review
ISO 9001 certificate Approved 18 Sep 2026 23 days

Secure uploads

Subcontractors upload through a private secure link. No account, password or new software is required.

Expiry tracking

See upcoming expiries and automatically request replacements before documents become overdue.

Review workflow

Approve or reject every upload. A new file does not count just because someone sent it.

Document history

Previous, rejected and replacement files stay on the record, so you can show what was approved.

FAQ

Before you join the pilot.

Does this decide if a subcontractor is legally compliant?
No. Your organisation defines which documents it requires. The product tracks whether those requirements have a current approved document.
Do subcontractors need accounts?
No. They receive a secure link that shows exactly which documents need attention, and they can upload from a computer or a phone.
What documents can we track?
You define the document types. Typical examples include public liability insurance, company registration, licences, and safety or quality certificates.
Can I buy Valar today?
Not yet. We're opening a paid pilot to a small number of European companies. Pilot customers will use the product in real workflows and help shape the first release.
What if we have more than 50 subcontractors?
The published price covers up to 50 active subcontractors. If you have more, tell us on the form and we'll let you know whether the pilot is a fit and what pricing would look like.
What does setup involve?
You add the document types you already chase, then send a link. Most teams start with a handful of subcontractors.
What happens after I submit this form?
We read the form and reply within two working days. You won't be charged when you apply.
